Do Northern Virginia hospitals have notaries on staff?
If you need documents notarized, you may think to contact the hospital's patient relations department. While some hospitals may have a notary on staff and available, they do have important limitations. Inova hospital notaries are typically only permitted to notarize documents that are related to medical care. This means they cannot notarize a power of attorney, a will, real estate doucments or estate planning paperwork, such as trust documents. In addition, their availability is usually limited to standard business hours. For documents that cannot wait--or fall outside those restrictions--a mobile notary is often the most reliable solution.

What to expect during a hospital notarization
When I arrive, I first check in with the nursing station before entering the patient's room. The care team may advise whether the patient is alert, able to communicate, or is currently receiving care. The patient must be of sound mind and be willing to sign. This consideration helps protect the patient and ensures the notarization is valid. Most appointments take about 10-20 minutes, depending on the number of documents. This includes allowing the signer to review the documents, for the others to witness the signing, and the recording of the required details in my notary journal.
Summary of identification requirements in Virginia
The signer must present a valid, government-issued photo ID. The digital form of identification (mID) cannot yet be used in Virignia. If their ID unavailable, we can use another form of identity verification called credible witnessing. This requires two disinterested parties who personally know the signer and are willing to take an oath confirming that.
Witness requirements for certain documents
Certain documents require that witnesses be present in addition to the notary. Some examples of such documents are the will, advance directive, and certain out-of-state real estate documents. Witnesses must be at least 18 years old, have their valid photo ID, must not be named in or benefit from the document, and must remain present for the whole signing.

Hospital visits can be emotional and sometimes overwhelming. I approach each bedside notarization with patience, respect, and sensitivity to the situation. I take the time to ensure the signer understands what they are signing and never rush the process. My role is not just to notarize documents, but to make sure everyone understands their role and that the documents are signed in an organized fashion.
